How to Check a Business Funding Program

By Dhairya Patel · Updated

Check the live intake, applicant rules, eligible costs and deadline before preparing an application. A funding directory does not establish that your business qualifies.

Start with official discovery sources

The federal Business Benefits Finder separates grants, loans, tax credits, wage support and other services. Alberta's financial supports directory and small business resources provide starting points for provincial and other support.

Open the administering organization's current page and applicant guide. Save the URL, guide version and date checked. Confirm the intake directly if the listing is unclear. I do not treat an old announcement, a search snippet or a past recipient as proof that applications are open.

Describe the project before searching

I start a funding brief with the business, the proposed work, the reason it is needed and the evidence available. Write the intended output in plain language. Separate a website rebuild, employee training, equipment purchase and research project. A program that supports one activity may exclude another.

Record the legal applicant, operating location, stage, industry, ownership and delivery team. Use the business's actual records. Do not change a project description to claim an activity the business will not do.

Build a program decision sheet

I record these checks for each possible application. The program's own guide controls the answer.

  1. Intake: Is it open, invitation-only, paused or closed? Record the deadline, time zone and submission route.
  2. Applicant: Does the legal business meet the location, sector, structure, ownership and stage rules?
  3. Project: Do the proposed activities match the program's purpose and timing?
  4. Costs: Which quoted items are eligible? Which must the business fund itself?
  5. Contribution: What cash, other funding or supporting commitment must be available?
  6. Payment: Is funding advanced, reimbursed or repayable? What records and reports are required?
  7. Readiness: Can the evidence, signatures and project work be supplied on time?

A missing answer stays unconfirmed. I list the question for the administrator before drafting. Eligibility and an award decision are separate checks.

Prepare an evidence folder

Use the actual application checklist to decide what belongs in the folder. It may require registration details, financial records, supplier quotes, a project schedule, partner letters or proof of the business's contribution. Do not send credentials or unrelated personal records just because a template has a space for them.

I keep a claim register beside the draft: claim, source file, date, owner and whether it is actual or forecast. Revenue, jobs and capacity need records. A projection needs its assumption. A polished sentence cannot replace missing evidence.

Check the cash requirement and excluded fees

The federal cleantech funding toolkit explains why eligible costs, cost-sharing, payment timing and reporting must be checked in the specific guide. Its scope is cleantech. It does not establish eligibility for an ordinary website project.

For a proposed website, ask the administrator whether design, copy, subscriptions and consulting are eligible, and when spending can begin. Ask separately about application-preparation fees. Do not assume my fee is reimbursable.

I put every supplier payment beside the expected funding receipt in a cash schedule. An approval amount does not show whether the business can cover a deposit or wait for reimbursement. Confirm the contribution and payment conditions before committing expenditure.

Use a controlled application workflow

  1. I screen the published rules and list unresolved questions.
  2. You confirm the project, budget and supporting records.
  3. I map the requested answers to the evidence and draft the narrative.
  4. I check the figures against the budget, dates and attachments.
  5. You review the factual claims and approve the final package.
  6. The authorized applicant submits through the required route and keeps the receipt.
  7. After a decision, the applicant reviews any agreement and reporting duties before starting the funded work.

The sequence is my preparation process. The program may require a different submission stage or order. I follow its instructions and state what my quote includes.

Know when to stop

Stop if the applicant is ineligible, the cost is excluded, the cash contribution is unavailable or the records cannot be ready. Do not spend on a full draft while a mandatory condition is unresolved. Ask the administrator for clarification and keep its reply with the source sheet.

I can quote a program shortlist, application narrative, project budget and evidence checklist. I do not guarantee eligibility or funding approval. Send the business, proposed work and deadline through Book a free call. I will confirm the preparation scope before work starts.
